1) Scope

This Privacy Policy explains how we collect, use, disclose, and protect information in Officer Assist (web). It covers the public website, the authenticated app, and admin areas. Officer Assist serves U.S.-based law enforcement agencies and educational institutions.

2) What we collect

• Account & Profile: name, email, role, department, and status (active/disabled).
• Operational Records (agency data): citation/warning/citerelease PDFs and JSON metadata (e.g., citation number, officer name, date, department name, configured court email). We do not store third-party criminal history; integrations like OSCN are viewed results only.
• Device & Usage: IP address, browser/OS, pages visited, timestamps, error logs.
• Support Content: messages you send us, including attachments.

3) How we collect

• Directly from you: forms, account creation, upload/print/email actions.
• Automatically: server logs (Nginx/Gunicorn), app logs, and analytics (if enabled).
• Third-party auth/storage: Firebase Authentication, Firestore, and Storage where configured.

4) How we use information

• Provide and secure the service (login, role checks, file generation, email sending).
• Sync files and metadata to agency cloud storage (Firestore/Storage) when enabled by the agency.
• Audit and reliability (sequential numbering, sync events, error diagnostics).
• Legal, safety, and compliance (detect abuse, respond to lawful requests).

5) Legal bases / purpose (U.S.)

We process data to deliver the contracted service to agencies/schools, operate our legitimate interests in security and reliability, and comply with legal obligations.

6) Disclosures & third parties

• Cloud providers: Google Firebase (Authentication, Firestore, Storage), AWS (EC2, CloudFront, S3 or email relay as applicable).
• Email: Messages may be sent via Gmail/Google Workspace or another SMTP provider your agency configures.
• Analytics/logs: Basic server logs; optional privacy-respecting analytics if enabled.
• Legal/safety: We may disclose information to comply with law or protect rights, safety, and property.
• No sale of personal information: We do not sell personal information.

7) Cookies & local storage

We use essential session cookies and/or secure tokens to keep you logged in. The app may use local storage for temporary drafts or UI preferences (e.g., theme). Blocking essential cookies may break the app. Officer Assist shows a cookie banner. Optional analytics or similar third-party cookies only load after you select “Accept all.” If you choose “Reject optional,” only essential cookies are used.

8) Data retention

• Agency records (citations/warnings/citereleases): retained per the agency’s policy; cloud copies live in the agency’s Firebase project/collections and Storage paths you control.
• Logs: server/application logs retained for a limited operational window (e.g., 30–180 days) unless needed longer for security/audit.
• Accounts: upon deactivation, we may retain minimal audit records as required by law or to protect the service.

9) Security

We use industry-standard protections (TLS/HTTPS, role-based access, server hardening, Firebase security rules). No method is 100% secure; please use strong passwords and protect your credentials.

10) Children’s privacy

Officer Assist is not directed to children under 13 and is intended for professional/educational use by authorized users.

11) Your choices & rights

• Access, correct, or delete account info by contacting your agency admin or RevTek support.
• For agency records, requests must go through the agency that controls those records.
• We do not target EU users; GDPR-specific requests may be routed to the agency data controller.

12) CJIS / FERPA context

Officer Assist is designed to avoid storing CJIS-restricted criminal history. For schools, we follow practices aligned with FERPA where applicable. Agencies/schools control what they upload or sync and are responsible for compliance in their jurisdictions.

13) Changes to this policy

We may update this policy. Material changes will be posted here with a new “Last updated” date. Continued use constitutes acceptance.
